Third-Party Inspection Firms

Your report is the product. Make it easy to produce and hard to question.

An inspection firm sells independence and a record. Field PM lets you run each client job as its own project, put your inspectors' reports and sign-offs in one place, send them out under your own letterhead, track the credentials and calibrations that make them valid, and bill the hours. Your clients do not need an account.

→Reports are written up at night from field notes
→Every client wants the report in a slightly different format
→An inspector's cert lapses and nobody notices until a client asks
→Equipment calibration records live in a binder at the shop
→Inspection hours get billed from memory at the end of the month
→Finding last year's report for a client means searching email
01

One project per client job

Set up each engagement as a project with the client as the customer. Your inspectors see the jobs they are assigned to, file their daily reports and inspections against the right one, and everything for that engagement — reports, forms, photos, drawings, and correspondence — lives in that project's Job Book. A client calls about a job from last spring and you open one folder.

02

Reports under your name, in the field

Inspectors complete inspection forms and daily reports on a phone, with photos, and can dictate instead of type. Reports are generated as PDFs carrying your company name, logo, and license number, plus any header fields a particular client or project requires, and can be emailed from the app. The report is done when the inspector leaves the site, not at ten that night.

03

Sign-offs with a name and a time on them

Inspection workflows record each step, who approved it, in what role, and when. Where a hold point needs your Level II or your QC manager to release it, the step waits for that person's electronic signature. What you hand the client is a sequence they can follow, not a single signature at the bottom of a page.

04

Credentials and calibrations, tracked

Keep each inspector's certifications on file with their expiry dates, and each piece of NDE equipment with its calibration record. Expiring and expired items are flagged. For weld work, NDE requests and results, repairs, and re-inspection are recorded against the individual weld, with welder and procedure records alongside.

05

Bill the hours you worked

With the time-and-material billing add-on, inspector hours and expenses go onto T&M tickets at the rates you have agreed with each client, and tickets roll up into invoices. A GPS time clock is available if you need to show when an inspector was on site.

FAQ — Field PM for Third-Party Inspection Firms

We inspect our clients' projects, not our own. Does Field PM work for that?+

Yes, with one thing to understand. Field PM is organized around your company and your projects, so each client engagement is a project in your account with that client as the customer. Your team works inside your account; the client receives your reports. It is not a shared workspace where you log into the client's system.

Do our clients need a Field PM account?+

No. Reports go to clients as PDFs under your name. There is a customer portal, and today it is for invoices; inspection reports are delivered as documents rather than through a client login.

Can a report carry a client's required header information?+

Yes. Your company name, logo, and license number appear on reports by default, and you can add custom header fields at the company level and override them per project — a client's job number or permit number, for example.

How is it priced for a firm that is mostly inspectors?+

Field roles, including QA/QC, are free and unlimited, and you license office and manager seats. Time-and-material billing and the time clock are add-ons. See the pricing page for current plans.

Is this a municipal permitting or code-enforcement system?+

No. Field PM is for inspection firms and contractors documenting quality on construction and industrial work. It does not schedule permit inspections for a building department or manage a jurisdiction's permit records.

Is it a laboratory system for materials testing?+

No. It records inspections, findings, and field reports. It is not a laboratory information system for sample tracking and test results.
