Low-voltage turnover without the shoebox of test files
On most low-voltage jobs the install goes fine and the closeout drags. The certifier holds 600 test results named by whoever keyed them in, the patch panel labels don't match the drawings, the rack got two more switches than the design showed, and the owner's IT group wants to know which switch port camera 104 is on. The free workbook above is the as-built package in four tabs: Cable Test Results, Port Map, Rack Elevation, and Device Schedule. They share cable IDs and switch names so they cross-reference.
1. Cable test results: the index to your certifier files
Every certified link gets one row: cable ID, from (telecom room, panel, port), to (room and outlet), category or media, length, test limit, result, worst margin, worst parameter, tester, date, and retest status. A few things matter more than people think:
- Record the exact limit. "Cat 6" isn't enough. Permanent link and channel limits differ, and so do TIA and ISO/IEC limits. Warranty programs often require specific limits and adapters. The template has a default limit and a per-row override.
- Watch the margin, not just PASS. A link that passes by 0.4 dB is one bad patch cord away from failing in service. The margin threshold is your call; thin margins flag amber.
- Length. Copper horizontal links have a maximum permanent-link length in the standard (commonly 90 m ≈ 295 ft; verify for your spec). Over-length links flag red. Fiber rows are skipped and checked against their own loss budget.
The summary gives links tested, PASS / PASS* / FAIL counts, first-pass yield, worst margin, over-length count, and open retests. That's the status line the GC's PM asks for every week.
2. Port map: the document IT actually uses
One row per patch panel port: rack, panel, port, cable ID, room, outlet, jack, switch, switch port, VLAN, device/use, and patch cord. The port label builds itself as Rack-Panel-Port (R1-PP-A1-07), matching the labeling scheme on the faceplates and panels (TIA-606 or the owner's standard). The Check column catches the two most common as-built errors: a cable ID used twice, or two ports patched to the same switch port.
3. Rack elevation with power and heat
The rack elevation lists RU 42 down to 1. Place each device on its top RU with its height, mount, input watts, and PDU outlets; multi-U devices show continuation rows. The summary gives U used and free, total watts, amps at your circuit voltage, % of the circuit rating against your planning limit, and heat load in BTU/hr for the mechanical engineer. PoE switches draw their PoE load from the rack circuit, so a 48-port PoE+ switch feeding cameras and APs can draw several hundred watts by itself. For dual-corded gear on A and B feeds, size each circuit to carry the whole rack when the other feed is down.
4. Device schedule and PoE budget
Cameras, access-control controllers and readers, wireless APs, and intercoms each get a row: tag, type, make/model, location, mounting and height, cable ID, switch and port, VLAN, IP, MAC, PoE class, PoE watts from the datasheet, installed, and online/programmed. Duplicate IPs flag red. The switch table below sums PoE watts by switch and compares them with each switch's PoE budget. PoE classes and power levels are defined in IEEE 802.3af/at/bt; use the device and switch datasheets for the numbers. Heated PTZ cameras and Wi-Fi 6E APs are where budgets get used up.
How the tabs tie together
- A failed cable in Cable Test Results (2A-01-007) shows up as the PTZ camera in the Device Schedule that isn't online yet.
- The Port Map tells you which switch port that camera lands on; the Rack Elevation tells you which switch, circuit, and PDU outlet feed it.
- Filter any tab by room, switch, or cable ID to answer the owner's question in seconds.

TIA-568, TIA-606, ISO/IEC 11801, IEEE 802.3, and NEC references are for orientation. The workbook doesn't embed standard tables or limits. Verify against the editions in your specification and adopted by your AHJ.
