Tool Tracking

Stop buying tools you already own.

Check tools in and out with a QR or barcode scan, assign custody to an employee, vehicle, or job site, track consumables, and schedule maintenance and calibration — so you always know where your gear is and who had it last. An optional add-on.

01

Scan to move a tool

Every tool gets a QR/Code-128 label. A scan checks it out to an employee, project, vehicle, or location and checks it back in when it returns — an append-only ledger means you can always see who had a tool, when, and where it is right now.

02

Custody you can actually find

Assign tools to the four places they actually live — a person, a job site, a truck, or the shop. The "tools on custody" widget shows up on fleet vehicle detail, the foreman daily report, and the customer portal, so the answer to "where's the laser level" is never a group text.

03

Consumables and reorder

Track consumables (blades, bits, gas, PPE) with quantities and reorder points, separate from durable tools. When stock drops below the threshold, it surfaces — so the crew isn't stalled waiting on a $12 box of blades.

04

Maintenance, calibration, and labels

Schedule preventive maintenance and calibration with due dates and records, log damage reports, and run periodic audits. Print labels as PDF sheets or to Brother QL / Zebra printers, and sync tools to QuickBooks fixed assets on create and retire.

FAQ — Tool Tracking

How do crews check tools out?+

By scanning the tool's QR or barcode label and choosing where it's going — an employee, project, vehicle, or location. Check-in is the same scan in reverse, and the full custody history is preserved.

Can I track consumables too?+

Yes. Consumables like blades, bits, and PPE are tracked separately from durable tools with quantities and reorder points, so low stock surfaces before it stalls a crew.

Does it handle maintenance and calibration?+

You can schedule preventive maintenance and calibration with due dates and records, log damage reports, and run periodic audits to reconcile what's on the books against what's physically there.

Is tool tracking included?+

It's an optional add-on. When active, it surfaces a "tools on custody" widget on vehicles, daily reports, and the customer portal, and can sync tools to QuickBooks fixed assets.
